Deleting your data

You may have your data removed from Event Workforce. This page says who to ask, what goes when you do, what the law obliges us to keep, and how long it takes. Who asks whom depends on how you came by your account, and that is the first thing to sort out.

1. There is no button in the app, and why not

You cannot delete yourself from the app. That is not an omission: nobody signs themselves up to Event Workforce. Accounts are created by the organisation you work for — the festival, the company or the crew agency — and that organisation decides when they go again. A button that took you out of their schedule would empty their roster without their knowing.

It is also why we cannot simply do it for you. For the data inside the application that organisation is the controller and we are the processor: it is their system, we keep it running. We may not change or remove anything in it on our own initiative. The privacy statement sets this out at more length.

2. Ask your own organisation first

If you want out of the system, ask whoever put you in it. That is usually the planner or the crew coordinator at the festival, the company or the crew agency you work for. They can do it straight away, without us.

If you do not know who that is, or you get no answer, email us at info@eventworkforce.nl. We will point you the right way. When a request like that reaches us we pass it to the customer it concerns and help them carry it out.

3. What to send us

Email info@eventworkforce.nl and include:

  • your name, as it appears in the system;
  • the email address you log in with;
  • which organisation or event you worked for — there are several in the system, and without that name we do not know whom to approach;
  • whether you want everything removed or only something specific.

So that we do not hand someone's data to the wrong person, or delete it at somebody else's request, we may ask you to show that you are who you say you are. A request costs nothing.

4. How long it takes

We answer within a month, the period the law sets, and usually a good deal sooner. If a request is large enough that a month will not be enough, we say so within that month rather than after it.

If your request concerns data a customer of ours is responsible for, it is that customer who carries it out. We pass it on and we help them, but the pace is then not entirely ours.

5. What goes, and what stays

Not everything may be deleted, and it is fairer to say so here than to let you find out.

Your personal data and your account
Gone as soon as the organisation you work for takes you out of the system. If the agreement between us and that organisation ends, we delete that customer's data within 30 days, unless they ask us to do it sooner. Those 30 days are there so they can still retrieve their own data before it goes.
The hours you worked
They belong to the administration of the organisation you worked for and are part of their bookkeeping. They decide what happens to them, and tax law obliges them to keep them for seven years.
The audit log
Entries in the audit log stay for seven years, as long as the hours they belong to. They are not deleted individually: a log you can take entries out of is no longer a log.
A message you sent us through the contact form
That one is ours, so we delete it on request straight away. Without a request it goes once the conversation is finished and six months have passed.

6. Removing the app from your phone is a different thing

Delete the app from your phone and the app is gone; your account is not. The data sits on the server, not on your device, and your account carries on existing until somebody removes it. If you want it actually gone, ask as described above.

7. If you and we cannot agree

If you are unhappy with what happens to your request, tell us first at info@eventworkforce.nl. That usually settles it faster than any other route. If we cannot work it out, you are entitled to complain to the Dutch data protection authority; the address is in the privacy statement.
